2. What information we collect

• Demo requests. When you submit the "Book a demo" form we receive your name, practice name, and email address. Submissions currently open in your own email client and are sent directly to us; we don't operate a third-party form processor for these requests.
• Website usage. Our web server records standard access logs (IP address, browser, pages visited, timestamps) for security and diagnostic purposes.
• Cookies. We set strictly necessary cookies (for login and session security) and, with your consent, optional analytics cookies on the public website. See our Cookie policy for the full list.

3. Why we use it (lawful basis)

• Demo requests — to respond to your enquiry. Legal basis: legitimate interests (responding to a request you initiated).
• Access logs — to protect the site and diagnose faults. Legal basis: legitimate interests (site security).

4. How long we keep it

Demo request emails are retained for as long as needed to progress the enquiry, and then deleted or archived per our internal records retention schedule (typically [[X]] months / years). Server access logs are kept for [[X]] days.

5. Where it's stored

The imanageyourpractice product platform stores customer data in the UK (Microsoft Azure UK South). Demo enquiry emails are handled through [[EMAIL PROVIDER, e.g. Microsoft 365 UK]].

We do not sell, rent, or share personal data with third parties for their own marketing. We share data only:

• with our infrastructure providers (Microsoft Azure UK, email hosting) strictly as processors on our behalf;

• ask us to correct inaccurate data;
• ask us to erase your data where legally possible;
